If you run a small business, you are the marketer, the copywriter, the customer service team and the strategist, often before lunch. ChatGPT can take a real chunk of that writing off your plate. The catch is that a lazy prompt gives you lazy, generic output that sounds like every other business on the internet.

This guide gives you 10 prompts built for small business owners. Each one tells the AI who your customer is, what you need, and what format to use. Copy them into ChatGPT, Claude or Gemini, fill in the brackets, and you will get something you can actually use.

Why most small business prompts fail

The typical prompt looks like this: "Write a social media post for my bakery." The AI has no idea who your customers are, what makes you different, what tone you use, or what you want people to do after reading. So it guesses, and the guess is bland.

Good prompts give the AI four things:

  1. A role. "Act as a local marketing consultant" changes the vocabulary and the priorities.

  2. Context. Your business, your customer, your offer, your difference.

  3. A task with limits. Word counts, number of options, platform.

  4. A format. Bullets, a table, a 3-part email. Format is what makes output usable without editing.

Every prompt below follows that pattern.

Marketing and planning prompts

1. A 90-day marketing plan you can follow

Act as a small business marketing consultant. My business: [what you sell], located in [city / online]. Ideal customer: [who]. Budget: [amount per month, or "zero"]. Main goal for the next 90 days: [e.g. 20 new customers].
Create a 90-day plan split into 3 months. For each month give: 1 focus, 3-5 specific weekly actions, and 1 simple metric to track. Only suggest tactics realistic for a one-person business. Format as a table.

2. Find what makes you different

I run [business type] in [location]. My competitors are [list 2-3]. What I do differently: [anything you think is different, even small things].
Ask me 5 questions to uncover my real unique selling point. After I answer, write 3 one-sentence positioning statements I could use on my website.

This one is interactive: let the AI interview you. The questions are often more valuable than the answer.

3. A month of content ideas in one go

Act as a social media strategist for a [business type]. My customers care about [topics, problems, interests].
Give me 30 post ideas for [Instagram / Facebook / LinkedIn], mixing: 40% helpful tips, 30% behind the scenes, 20% customer stories (I will add real ones), 10% offers. Format: a table with day, idea, format (photo, reel, carousel) and a hook line.

Customer communication prompts

4. Reply to a negative review calmly

Act as a customer service manager. Here is a negative review of my business: "[paste review]".
Write a public reply under 80 words that thanks the customer, acknowledges the specific problem without being defensive, explains what we'll do, and invites them to contact us at [email/phone]. Tone: warm, professional, never sarcastic.

5. The welcome email for new customers

Write a welcome email for new customers of [business]. They just [bought X / signed up]. Include: a friendly thank-you, what happens next, one useful tip for getting the most from [product/service], and how to contact us. Under 150 words. Give 3 subject line options.

6. Turn FAQs into a help page

Here are the questions customers ask us most often: [paste list].
Turn them into a clear FAQ page. Group them into sections, write short plain-English answers (2-4 sentences), and flag any answer where I need to add specific details like prices or times.

Sales and pricing prompts

7. Write a product or service description that sells

Act as a conversion copywriter. Write a description for [product/service]. Who it's for: [customer]. The problem it solves: [problem]. What's included: [features]. Price: [price].
Format: a headline, a 2-sentence intro focused on the customer's problem, 4 benefit bullets (benefit first, feature second), and one clear call to action. No hype words like "revolutionary".

8. Sanity-check your pricing

I sell [product/service] for [price]. My costs per sale are about [cost]. Competitors charge [range]. My customers are [who].
Act as a pricing advisor. List the pros and cons of my current price, suggest 2 alternative pricing approaches (e.g. tiers, bundles), and tell me what information I'd need to decide. Do not invent market data.

Note the last line. ChatGPT can sound confident about numbers it made up, so telling it not to invent data is a good habit for any business prompt.

9. A simple promotion email

Write a short promotional email for [business]. Offer: [offer], valid until [date]. Audience: existing customers who bought [X]. Tone: [friendly / premium / playful].
Structure: subject line (3 options, under 45 characters), opening line, the offer in one sentence, why it's worth it, one button text, and a P.S. Under 120 words.

Productivity prompt

10. Turn messy notes into a clear plan

Here are my messy notes from [meeting / brainstorm]: [paste notes].
Turn them into: 1) a 3-sentence summary, 2) a list of decisions made, 3) a to-do list with owner and deadline placeholders, 4) open questions. Keep my wording where possible.

How to get better results from any prompt

Give real examples

Paste a post or email you've written before and say "match this tone". The AI copies style far better than it follows adjectives like "friendly but professional".

Ask for options, then pick

"Give me 5 versions" costs you nothing and usually one of them is close. Then say "make version 3 shorter and more direct".

Keep a prompt library

Save the prompts that work in a document, with your business details already filled in. Next time it takes 10 seconds instead of 10 minutes. That is exactly why we built ready-made packs.

Always check facts

AI tools can produce confident but wrong statements. Check any claim, number, law or price before you publish it.

Is it safe to put business information into ChatGPT?

Avoid pasting sensitive data such as customer personal details, passwords or financial records. Check your AI tool's privacy settings and data controls.

Can ChatGPT replace a marketing agency?

How do I make ChatGPT sound like my brand?

Paste 2-3 examples of your own writing and ask it to match the tone. Add a short "brand voice" note to the start of your prompts.
